  1. The candidates were required to explain agenda and state the duties of a secretary during the meeting and immediately after the meeting.

Comments
The candidates that attempted this question scored average marks in it. The performance was fair.
Some of the responses expected from the candidates were:

  • An agenda is a list of items or programme that have been outlined in advance to be discussed or followed accordingly in conducting a meeting

During a meeting:
(i)         Assist the chairman in his duties

  • Read the minutes if it is not circulated earlier
  • Take minutes of meeting
  • Listen attentively and note all the business transacted in order to write the essential points
  • Remind the chairman of any point he may wish to clarify   

(ii)        Immediately After a meeting:

  • Remove “meeting in progress” notice if any
  • Notify catering staff / messenger to clear the refreshment table
  • Remove any surplus papers and destroy unwanted ones
  • Return minutes book, all meeting documents to the office
  • Prepare the draft of the minutes for the chairman’s approval
