A newly established company ZATCO in 2017, bought laptops to be used in the store department. The laptops were  coded as follows:

  1. ZATCO/SD/;

  2. ZATCO/SD/2017;

  3. 2017/003/.

  1. (i)   Identify the methods used for coding each of the laptops.

    (ii)  Explain the coding methods used in 6(a)(i)

  2. State four features a good coding system should possess.

 

 

Observation

 

Few candidates attempted this question and performed brilliantly. However, some candidates could not differentiate between the different coding methods. Others could not state the features of a good coding system.

The responses expected from candidates are:


  1. (i)  Methods of coding used for the Laptops

    • Alphabetic coding

    • Alphanumeric coding

    • Numeric coding

  2.           

    (ii) Methods of coding used for the Laptops


    • Alphabetic coding - This is a system of coding that involves the use of alphabets or letters to identify items that are kept in the store.

    • Alphanumeric coding – This is a system of coding that involves the combination of alphabets and numbers to identify items that are kept in the store.

    • Numeric coding – This is a system of coding that involves the use of numbers to identify items that are kept in the store


  3. Feature of a good coding system

     i. Each item should be unique by having its own code.SWSSS

    ii.A good coding system should have a distinctive feature to avoid confusion.

    iii.It must be as brief as possible and consistent with meeting the requirement of the classification system.

    iv. The codes must be uniform, that is, it should be of moderate length and structure.

    v. It must be in-exhaustive, that is, it should be able to accommodate new items as they arise.

    vi. The notation used for the coding system should not be ambiguous.

    vii.The code should have an item that relates to the material being coded.

    viii. It should be flexible to allow for future changes.
